Season Membership Terms & Conditions
Key points:
- Photo ID required: Season Members must present valid photo ID at entry.
- Membership badge required: Season Members must wear or clearly display their membership badge while attending the event.
- Non-transferable: Season Memberships cannot be shared, lent, sold, or transferred.
- Non-refundable: Membership fees are strictly non-refundable, except where required by law.
- Membership packs: Packs can be posted or collected. Membership packs will not be available for collection at the event.
1. Definitions
- Club / NWJC means Nor West Jockey Club.
- Season Membership means a membership valid for the applicable NWJC race season, as determined by NWJC.
- Member means the individual whose name is recorded on the membership and who has completed the membership application and payment.
- Membership Pack means any physical items issued as part of membership, including but not limited to badges, wristbands or other membership materials as determined by NWJC.
- Event means a NWJC race day or related function during the applicable season.
2. Membership Eligibility
Season Membership is available to individuals who complete the required membership application, provide accurate personal details, and meet any eligibility requirements set by NWJC from time to time.
NWJC may refuse, cancel, suspend or revoke a membership where information provided is false, misleading, incomplete, or where these Terms & Conditions or any membership rules are breached.
3. Membership Approval
Where NWJC applies an approval process, submission of an application does not guarantee membership. NWJC reserves the right to approve or reject any application at its sole discretion.
4. Membership Fees, Payment and Confirmation
- Membership is not confirmed until payment has been successfully received and processed.
- All membership fees are in Australian dollars (AUD) unless stated otherwise.
- Membership fees are strictly non-refundable, except where required by law.
5. Membership Availability and Sale Periods
- Season Memberships may be released in stages or sale windows as determined by NWJC.
- Any presale periods, public release dates or priority access periods will be advertised by NWJC.
- NWJC may close sales early if capacity is reached.
6. Membership Limits and Purchase Rules
- Season Memberships may be limited in quantity.
- One (1) Season Membership per person, unless otherwise approved by NWJC.
- Duplicate or suspicious purchases may be cancelled where a breach of these Terms & Conditions is identified.
- Season Memberships must be purchased through the official NWJC website or other approved sales channels, unless NWJC states otherwise.
7. Membership Identification, Entry and Verification
- Valid photo ID is required upon entry to verify membership ownership.
- The name on the Season Membership must match the name on the photo ID presented.
- Season Members must present their membership badge, QR code, barcode or membership number when requested.
- Season Members must wear or clearly display their membership badge while attending the event.
- Failure to provide valid identification or the required membership badge may result in refusal of entry.
8. Non-Transferable Membership
- Season Memberships are strictly non-transferable.
- Members must not sell, share, lend, gift or transfer their membership, membership badge, QR code, barcode or any other membership access method to another person.
- Any attempt to transfer or share membership access may result in cancellation of membership, refusal of entry, removal from the venue, and/or loss of eligibility for future memberships.
9. Membership Packs – Postage or Collection
Membership packs may be posted or collected, depending on the options made available by NWJC at the time of purchase.
9.1 Postage
- Where postage is offered, postage options and any applicable fees will be presented during or after the membership purchase process.
- Packs will be sent to the address provided by the Member.
- Members are responsible for ensuring their delivery details are accurate.
9.2 Collection
- If collection is selected, the Member will be emailed once their pack is ready, together with collection information.
- Membership packs will not be taken to the event for collection.
- NWJC is not responsible for delays or missed collection where the Member does not follow the collection instructions provided.
10. Membership Benefits
Season Membership benefits apply to the applicable race season and may include benefits determined by NWJC from time to time, such as entry entitlements, members-only access areas, priority access or other advertised inclusions.
All benefits are subject to change and are not transferable.
11. Membership Term
Season Membership is valid only for the applicable NWJC race season and expires at the end of that season, or on a date otherwise determined by NWJC. Memberships do not automatically renew unless expressly stated by NWJC.
12. Code of Conduct
Members are expected to behave respectfully and lawfully at all NWJC events and functions. Behaviour deemed inappropriate, unsafe, abusive, disruptive or contrary to NWJC policies may result in refusal of entry, removal from the venue, suspension or termination of membership privileges.
This includes, but is not limited to:
- sharing or lending membership badges, QR codes or other access credentials,
- misuse of membership privileges,
- failure to comply with Club rules or staff instructions,
- aggressive, abusive, disorderly or intoxicated behaviour.
NWJC reserves the right to make final decisions regarding membership conduct and venue access.
13. Refunds, Cancellations and Event Changes
- Membership fees are strictly non-refundable, including for change of mind, inability to attend, travel issues, illness or other personal circumstances, except where required by law.
- NWJC is not responsible for cancellation, modification or rescheduling of events due to circumstances beyond its control, including but not limited to weather, natural disasters, venue issues, government restrictions or public health orders.
- Where required by law, refunds or remedies will be handled in accordance with applicable consumer protection legislation.
14. Privacy and Communications
By registering for membership, you consent to NWJC collecting and using your personal information for membership management and verification, communications about club events and membership matters, and operational and safety requirements. Personal information will be handled in accordance with NWJC’s Privacy Policy.
15. Photography, Video and Media Consent
You acknowledge and agree that photographs, video and audio recordings may be taken at NWJC events. These materials may be used by NWJC for promotional, marketing and advertising purposes, including on the Club’s website, social media and other media channels, without compensation or further notice where permitted by law.
16. Changes to Terms
NWJC may update these Terms & Conditions at any time. The most current version published by NWJC will apply. Continued use of a Season Membership after updated terms are published constitutes acceptance of those updated terms.
17. Acceptance
By purchasing and/or using a Season Membership, you confirm that the details you provided are true and correct, you understand that Season Memberships are non-transferable, you understand that valid photo ID is required for entry, and you agree that your membership badge must be worn or clearly displayed while attending the event.
